Basic Terms of Rental (additional terms are detailed on rental contract)
1. A deposit of 50% of the rental fees plus the appropriate damage deposit is required at the time of booking. The balance of the rental fee is due one week prior to the date of use. If cancellation occurs more than 30 days before the scheduled date, the total deposit, less a $25.00 administration fee, will be refunded. Failure to cancel bookings 30 days prior to the scheduled date shall result in 50% of the rental fee payment being retained. Cheques returned NSF invoke an additional charge of $25.00.
2. These are community-owned and operated facilities, please handle with care and leave them in as good condition or better than you found them.
3. The kitchen comes equipped to provide basic meal settings for up to 150 people.
4. All buildings and facilities on the Coombs Fair Grounds are non-smoking. Smoking is permitted only on the cement patio beside the Arrowsmith Hall, smokers must use the ashtrays as provided.
5. The Applicant will not be permitted to have any Liquor or Beer on the premises unless a Liquor Permit is in effect. A copy of the permit shall be presented and attached to this agreement prior to the use of the facility.
6. All users of the facilities must observe all local bylaws and fire regulations. The authority having jurisdiction has the right to shut down the facility if bylaws and regulations are not adhered to.
7. The Rental Applicant or their authorized contact is responsible for the security and condition of the buildings and grounds, and for the actions of their participants during their function.
8. $25.00 minimum call out fee and $10.00 per hour or portion thereafter for security or assistance, in the event the Hall Manager or Grounds Manager are required to supervise your event.
9. The rental fee covers facilities and grounds as is and does not include set-up, tear-down or janitorial services of any kind, indoors or out. If such services are required to be performed by the hall staff, the applicant must assume responsibility and arrange for immediate payment in cash.
